The On-the-Job Trainee (OJT) – Document Control Assistant provides administrative and technical support to the Document Controller in maintaining the company’s filing systems, archives, and documentation processes. The role involves assisting in the organization, classification, and management of both hard and digital copies of records to ensure accuracy, accessibility, and compliance with company standards.
JOB RESPONSIBILITIES:
- Assist the Document Controller in scanning, sorting, arranging, classifying, printing and filing hard copies of documents in the company’s archive.
- Maintain company files, archives, records, and documentation in an organized and easily retrievable manner.
- Help manage access and integrity of master documents stored within the document control system.
- Ensure system security by observing proper protocols for managing to pull out documents by recording them or creating transmittals when releasing the documents requested.
- Support consistent processing and uploading of transactions documents into the Quick Books/Monday. Com system according to established procedures.
- Assist in the Develop for standardized practices for creating, revising, distributing, and disposing of documents in an organized and verifiable manner.
- Perform other related duties as assigned by the immediate supervisor or management.
JOB REQUIREMENTS:
- A bachelor’s degree in a relevant field such as business administration, information management, or a related discipline is often preferred.
- Basic understanding of document management systems or office filing procedures.
- Proficient in MS Office applications (Word, Excel, Outlook).
- Detail-oriented, organized, and able to handle confidential information responsibly.
- Strong communication and coordination skills.
